The Post-Treatment Follow-Up That Turns Patients Into Referrals
Ask any clinic owner where their best patients come from and most will say the same thing: referrals. Friends, family, colleagues who heard good things.
Then ask what they do to earn those referrals, and the answer is usually "good dentistry." Which matters. But good dentistry is expected. What patients talk about is how they were treated, especially after they left the chair.
The period right after treatment is when patients are most likely to talk about their experience. It's also when most clinics go silent. A simple follow-up routine changes that.
Why the days after treatment matter so much
After a procedure, patients are often a bit uncertain. Is this swelling normal? When can I eat normally? Should it still feel strange? A clinic that reaches out before they have to ask feels like it genuinely cares.
That feeling is what turns a satisfied patient into someone who says, unprompted, "You should go to my dentist."
A follow-up routine you can start this week
Same day: care instructions they can keep
Before the patient leaves, or within an hour, send their aftercare instructions by message or email. Specific to their treatment, written in plain words. Patients forget most of what they're told in the chair. Having it on their phone helps, and it shows you're organized.
Next day: a personal check-in
For surgery, implants, extractions or anything uncomfortable, a short call or message the next day. "Hi Maria, it's the clinic. Just checking how you're feeling after yesterday. Any questions?" Ideally from the dentist or someone the patient met.
This is the single most talked-about gesture in dentistry. It takes two minutes per patient.
One week later: practical tips
A short message with tips for maintaining their result. After whitening, which foods and drinks to watch. After a crown, how to care for it. Add a link to book their next check-up.
After the result is final: ask for feedback
Once the treatment is complete and the patient is happy, ask how it went. A simple question works: "How did we do?" If they're positive, that's the moment to ask for a review. If something wasn't right, you hear it privately and can fix it.
Ongoing: remember them
Recall reminders for check-ups and hygiene. Maybe a note on their birthday. Nothing salesy, just staying in touch so you're the first name they think of when someone asks for a dentist.
Make referrals easy
Many happy patients would refer friends but never think to, or don't know how. Help them:
- Ask directly, at the right moment. When a patient says "I'm so happy with this," a simple "That's great to hear. If you know anyone who's been putting off the dentist, we'd be glad to help them too" is enough.
- Give them something to share. A short link to your booking page or a treatment explainer they can forward by message.
- Thank people who refer. A personal thank-you note goes a long way. Check your local rules before offering any rewards for referrals in healthcare.
Small touches people remember
Delight doesn't come from grand gestures. It comes from details that show attention:
- A handwritten thank-you card after a big treatment.
- Remembering something the patient told you last time.
- A quick message after their first meal with new implants: "How was it?"
- Making sure the follow-up comes from someone they've met, not a faceless "clinic team."
Automate the routine, keep it personal
You don't need to remember all of this manually. The day-after check-in, the one-week tips, the review request and recall reminders can all be scheduled, triggered by the treatment type in your system. What matters is that each message is relevant and written in your clinic's voice, not a generic template.
We set up exactly this kind of WhatsApp, Messenger and email follow-up for clinics as part of our Dental Growth System, connected to a dashboard so your team sees every message and reply in one place. More on how the pieces fit together on our dental marketing services page.
Track what happens
Add "How did you hear about us?" to every new patient form, and note referrals by name when you can. After a few months, compare: are you getting more referrals since you started the routine? Which patients refer most? That tells you where your follow-up is working.
Referrals are earned after the appointment
The best marketing many clinics will ever have is a patient who felt genuinely looked after. A follow-up routine makes that happen on purpose instead of by chance.
