If you've started looking at AI receptionists for your dental office, you've probably noticed that pricing is all over the place. Some tools show a monthly price on the homepage. Others charge a setup fee, price by the number of leads or hide everything behind "book a demo". Comparing them like for like is harder than it should be.
This guide is meant to make it easier. I'll explain the pricing models you'll meet, show a few real prices that vendors publish themselves (with links and the date I checked), and give you the questions that matter more than the monthly price. I run a dental marketing agency that builds its own AI agent, so I have an interest here. I've tried to keep this useful whichever option you choose.
What you're actually paying for
"AI receptionist" covers quite different products. Before comparing prices, check what's included:
- Channels: website chat, WhatsApp, Instagram, Facebook Messenger, email, SMS, phone calls. Voice and phone answering is a different, usually pricier, product from written chat.
- Languages: one, two or several, and whether it switches automatically.
- Booking: does it only collect details, send a booking link, write into a calendar or integrate with your practice management software?
- Follow-up: reminders, no-show recovery and nudges for people who went quiet.
- Setup and training: who builds the knowledge base, who checks the answers and who fixes them when they're wrong.
- Human handoff: how urgent or sensitive conversations reach your team.
- Compliance: where data is stored, a data processing agreement for GDPR, and a HIPAA Business Associate Agreement for US clinics.
- Support and reporting: self-serve, email-only or a named person, plus what you can see in the dashboard.
The four pricing models you'll see
- Flat monthly subscription. One price per month, sometimes in tiers by channel or features. Easy to budget for.
- Subscription plus setup fee. A one-off fee for onboarding and building the knowledge base, then a monthly fee.
- Usage-based. Priced by the number of leads, conversations or messages per month. Cheap when volume is low, but check what happens when a campaign works and volume jumps.
- Bundled into a wider service. The AI agent comes as part of a marketing or practice software package. The headline price may cover ads management, reminders or software you'd otherwise pay for separately, or you may be paying for things you don't need.
Published price examples
These are prices the vendors publish on their own websites. I'm not recommending any of them. They're here to give you a sense of the range. Prices change, so click through and check before deciding.
| Vendor | What the published price covers | Published price | Source (checked 22 Oct 2026) |
|---|---|---|---|
| Arlay | AI receptionist for dental clinics on WhatsApp, Google Calendar booking | €149/month, setup included, 7-day trial | usearlay.com |
| Agentlyx | Plan that adds the AI agent on WhatsApp and Instagram, plus an AI voice agent, to its practice software | $299/month (higher tier $499/month; a free tier has no AI agent) | agentlyx.ai |
| Practiq | AI receptionist for dental clinics; Starter is WhatsApp only, Pro adds Instagram DM and English/Spanish | Starter $600/month + $1,500 setup; Pro $900/month + $2,000 setup | getpractiq.com |
| Whappy | WhatsApp AI assistant (not dental-only), priced by new leads per month, billed annually | About €0.14 per lead (200 leads/month plan) down to about €0.03 per lead (10,000 leads/month plan) | whappy.ai/pricing |
Even in these four, you can see why the monthly number alone doesn't tell you much. They cover different channels and languages, and they differ on setup and on whether there's practice software around the AI. To compare fairly, work out what a full year would cost you for the channels and volume you actually need.
The costs that don't appear on the pricing page
- Your team's time to write and approve answers, review conversations and keep information up to date. Ask who does this work: you or the vendor.
- WhatsApp Business messaging fees. On the WhatsApp Business Platform, Meta charges per delivered message sent by a business. The rate depends on the message type (marketing, utility, service and so on) and the patient's country. Messages from patients to you are free, and as of October 2026 each business number gets 1,000 free service messages a month (Meta, WhatsApp Business Platform pricing). Reminders sent outside a 24-hour reply window are template messages, and those are usually charged. Ask whether the vendor's price includes these fees or passes them on.
- Integrations with your booking system, CRM or practice software, which are sometimes extra.
- Wrong answers. An AI that gives a confident wrong answer about prices or a treatment costs more than its subscription. Ask how answers are checked.
- Lock-in. Long contracts, or your conversation history and patient data being hard to export.
12 questions to ask any AI receptionist provider
- Which channels are included at this price: website chat, WhatsApp, Messenger, Instagram, email, phone?
- Which languages does it reply in, and does it switch automatically?
- Can it book directly into our calendar or software, or does it send a link or request?
- Who builds and approves the knowledge base, and how long does that take?
- What happens with urgent symptoms, complaints or clinical questions?
- Does it say clearly that it's an AI assistant?
- Can my staff see every conversation live and take over at any moment?
- Where is the data stored? Will you sign a GDPR data processing agreement, or a HIPAA BAA in the US?
- Are WhatsApp messaging fees and integrations included?
- What does it cost if our volume doubles?
- What's the contract length and notice period, and can we export our data?
- Can I see it answer our own patients' typical questions before I sign?
How to work out whether it pays for itself
You don't need industry statistics for this. Use your own numbers:
- For two normal weeks, count the messages and inquiries that arrive outside opening hours or wait more than an hour for a reply.
- Look at what share of your inquiries usually become attended new patients.
- Estimate what an average new patient is worth to your clinic over the first year, from your own records.
- Ask: if faster replies won just a few more of those slow or after-hours inquiries each month, would that cover the yearly cost?
For many clinics the answer is clear quickly. If it isn't, fix the basics first (a clear booking page, reminders, follow-up) and revisit later.
AI receptionist, answering service or more staff?
- More front desk staff gives you the human touch, but it's the most expensive way to cover evenings and weekends, and people can't answer five chats at once.
- A human answering service covers phone calls but usually takes messages rather than giving real answers or booking.
- An AI receptionist covers written messages around the clock at a lower cost, as long as it's set up carefully, answers only from approved information and hands off well.
Most clinics end up with a mix: people for the human moments and AI for speed and volume.
How we price ours
Our AI agent replies in Bulgarian, English, German and Spanish on WhatsApp, Messenger, email and website chat, and hands patients to your team when a person is needed. We include the knowledge base setup and review the conversations with you in the first weeks. We work on monthly packages quoted in EUR or USD, with no long contracts, and a HIPAA Business Associate Agreement is available on request for US clinics. Because the package depends on your channels, languages and volume, we send a written proposal after a short call rather than publishing a one-size price. You can read more on our AI receptionist for dental clinics page.
The agent works on its own, but it's most valuable when it's answering the inquiries from your Google Ads or Facebook and Instagram ads, or from an implant campaign, where every slow reply is money spent for nothing.
Frequently asked questions
How much does an AI dental receptionist cost?
Published prices vary widely. In the examples above, they range from €149 a month with setup included, to $600–$900 a month plus a setup fee of $1,500–$2,000, to usage-based pricing per lead. What's included varies just as much, so compare the yearly cost for the channels, languages and volume you need.
What's the best AI receptionist for a dental office?
The one that answers your patients accurately, in their language and on the channels they actually use, and that hands off well to your team. Ask to see it answer your own clinic's real questions before you decide.
Is an AI receptionist cheaper than a human receptionist?
For covering written messages in the evenings and at weekends, usually yes. But it isn't a replacement for your front desk. It works best alongside them.
Are there hidden costs?
Look out for setup fees, WhatsApp messaging fees, integrations, extra languages or channels, volume-based charges and your own team's time to approve answers.
Is it safe to use with patient data?
It can be, if it's set up carefully. Collect only what's needed to book, keep clinical details out of ad platforms, and get a data processing agreement under GDPR or a Business Associate Agreement under HIPAA.
