Build a Clinic Knowledge Base Before You Use AI Tools
Ask a general AI tool to write a post about your clinic's implant treatment and you'll get something that sounds fine. Polished sentences, a friendly tone. But read it closely. The prices are made up or missing. The process doesn't match how your dentists work. The tone could belong to any clinic in the world.
That's not the tool's fault. It doesn't know your clinic. It only knows what you tell it.
Before you use AI for content, emails, ad copy or patient chat, build a simple knowledge base: one organized source of truth about your clinic. It's the single most useful thing you can do to get accurate, on-brand results from any AI tool.
What a clinic knowledge base is
It's a document, or a small set of documents, that describes your clinic in detail: what you offer, how you work, what you charge, how you talk and what you never say. It's written once, kept up to date and used every time you or an AI tool creates something.
It's not complicated. A well-organized document in Google Docs or Word is enough to start.
What to include
1. Clinic basics
- Name, address, how to get there, parking, public transport.
- Opening hours, including holidays.
- Phone, email, booking link, messaging channels.
- Languages spoken by the team.
- Accessibility information.
2. Team
- Dentists and specialists, with qualifications, focus areas and a short, approved bio.
- Who does what: who handles implants, orthodontics, children.
3. Treatments
For each main treatment:
- A plain-language description.
- Who it's for and who it may not suit.
- The process step by step, number of visits, typical timeline.
- Price ranges or "from" prices, and what's included.
- Payment options and installments.
- Aftercare and recovery basics.
- Common questions and approved answers.
4. Policies
- Cancellation and rescheduling rules.
- Deposits, if any.
- Warranty or guarantee terms, if any.
- Emergency procedure: what to do out of hours.
5. Positioning and messaging
- Your ideal patients.
- Your main value proposition and key messages.
- What makes you different, with proof.
6. Tone of voice
- Three words that describe how you sound.
- Words and phrases you like, and ones you never use.
- Formal or informal address, especially important in languages with formal "you."
- Example sentences that sound right.
7. Rules and limits
- Claims you must never make: guaranteed results, "painless," "best in the city."
- Medical topics that must always be referred to a dentist.
- Rules on patient photos, consent and privacy.
- When a chat conversation must be passed to a human.
How AI uses it
Once you have this document, you can:
- Paste relevant sections into an AI tool before asking it to write a blog post, ad or email. The output will reflect your real treatments, prices and tone.
- Train an AI chat agent on it, so it answers patient questions with your actual information instead of guessing.
- Onboard new team members faster, since the same facts and tone apply to people too.
- Keep everything consistent across your website, ads, social media and front desk.
Keep it accurate
A knowledge base is only useful if it's correct. Assign one person to own it. Review it every few months, and update it immediately when prices, hours, team members or treatments change. An AI tool fed outdated prices will confidently repeat them to patients.
Always review AI output
Even with a great knowledge base, AI can make mistakes or phrase things in ways that don't fit healthcare rules. A person on your team, ideally a dentist for clinical content, should review anything before it goes public. AI speeds up the work; it doesn't replace judgment.
Start small
Don't wait until it's perfect. Start with your clinic basics and your top three treatments. Add more over time. Even a short, accurate document is far better than none.
How we use it
When we set up our AI chat agent for a clinic, the first step is gathering exactly this kind of information: treatments, prices, policies, tone and rules. That's what lets it answer patient questions accurately at any hour, in English, Bulgarian, German or Spanish, and pass conversations to your team when needed. See how it works on our AI chatbot for dental clinics page.
